Privacy & Cookie Policy

This notice applies to clients and potential clients, people insured or named on a policy, people who visit our website, and others we deal with. If you give us information about someone else, such as a joint applicant, named driver, employee or family member, please make sure they have seen this notice.

3. What information we collect

  • Identity and contact: Name, address, date of birth, phone, email, proof of identity and address
  • Insurance details: What or who you want to insure: property, vehicles, business activities, claims history, previous insurance
  • Financial: Income, outgoings, assets, debts, credit history, bank statements, payslips, accounts, bank and card details for payments
  • Employment: Employer, job, length of service, self-employed accounts
  • Family and dependants: Details of your partner and dependants, where relevant to mortgage or protection advice
  • Health and lifestyle: Medical history, smoking and alcohol use, height and weight, where needed for protection, travel or some commercial insurance; any circumstances that mean you may need extra support from us
  • Criminal convictions: Unspent convictions and pending prosecutions, where insurers or lenders ask for them
  • Online: Your IP address and how you use our website, through cookies

We collect information from you, from people acting for you, and from insurers, lenders, product providers, credit reference agencies, fraud prevention databases and public sources such as Companies House and the electoral roll.

4. How we use it, and the law that allows us

  • To give you advice and arrange insurance, mortgages, protection, investments and premium finance, and to administer them: Necessary for a contract with you, or to take steps at your request before one
  • To check your identity and prevent fraud, money laundering and other financial crime: Legal obligation (including the Money Laundering Regulations 2017)
  • To meet FCA rules, keep records, handle complaints and deal with regulators and the Financial Ombudsman Service: Legal obligation
  • To record calls, train staff, improve our service and manage our business: Our legitimate interests
  • To tell you about similar products and services: Our legitimate interests, or your consent where the law requires it (see section 10)

Health and criminal conviction information is more sensitive. We use it only where we need it to arrange or administer insurance, or to give advice that depends on it. For insurance and protection, our lawful basis is that this is necessary for reasons of substantial public interest for insurance purposes (Data Protection Act 2018, Schedule 1, paragraph 20).

Mortgages: we use your information to advise on and arrange your mortgage because this is necessary for our contract with you, or to take steps at your request before one (UK GDPR Article 6(1)(b)), and to meet our legal obligations, such as anti-money laundering checks and FCA record-keeping (Article 6(1)(c)). We rely on our legitimate interests (Article 6(1)(f)) for call recording, fraud prevention and reviewing the quality of our advice. If your application involves information about your health, for example where a health condition affects your income or the mortgage term, we will ask for your explicit consent to use it.

Information about extra support you may need

If your health or circumstances mean you may need extra support, we record this so we can communicate with you in the way that suits you and give you the help you need, as FCA rules on treating customers fairly require. Our lawful basis is our legal obligation to follow those rules, or our legitimate interests in looking after our clients.

Where the information is about your health, we will ask for your explicit consent. For insurance and protection, we may instead rely on the condition for insurance purposes in the Data Protection Act 2018. We only record what we need, you can ask us to update or remove it at any time, and if you prefer not to share it we will still help you.

Insurers, lenders and PremFina may use automated decision-making, including credit scoring, to decide whether to offer you a product and on what terms. You can ask them for a person to review the decision. We do not make automated decisions about you ourselves.

5. Who we share it with

  • Insurers, underwriting agencies, other insurance intermediaries, lenders and product providers, so they can quote for, provide and administer your products
  • PremFina, our premium finance provider, if you choose to pay monthly
  • Credit reference and fraud prevention agencies, and insurance industry databases such as the Claims and Underwriting Exchange and the Motor Insurance Database
  • Firms that provide services to us, such as our client management, sourcing, document and accounting systems, IT support, compliance consultants and auditors. They act only on our instructions
  • Surveyors, valuers, solicitors and loss adjusters, where needed for your application or claim
  • Regulators and public bodies, such as the FCA, the Financial Ombudsman Service, HMRC and the police, where the law requires or allows it
  • Another firm, if all or part of our business is sold, so your policies can continue to be looked after

We do not sell your personal information.

6. Transfers outside the UK

Some of the firms we work with may store or process information outside the UK. Where they do, we make sure it is protected, for example by relying on UK adequacy regulations or the ICO's International Data Transfer Agreement.

7. How long we keep it

We keep your information only for as long as we need it for the purposes above, to meet legal and regulatory requirements, and to deal with any complaint or claim. As a guide:

  • Quotes you did not take up: 6 years from the quote
  • General insurance policies and claims: 6 years after the policy ends
  • Liability and professional indemnity policies: 6 years after the policy ends
  • Regulated mortgage advice and applications: 6 years after the mortgage ends
  • Protection advice (life, critical illness and income protection): 6 years after the policy ends
  • Investment advice: 6 years after the product or our relationship with you ends
  • Identity and anti-money laundering checks: 6 years after our relationship ends
  • Call recordings: 12 months from the date of the call, then deleted automatically

8. Your rights

You can ask us to:

  • give you a copy of your personal information
  • correct information that is wrong or incomplete
  • delete your information, where we no longer need it
  • restrict or object to how we use it, including for marketing
  • send your information to you or another firm in a commonly used electronic format, where this applies
  • review an automated decision, by asking the firm that made it
  • stop using information we hold on the basis of your consent, at any time

Some rights depend on the reason we hold the information. For example, we may need to keep records for a set time to meet FCA rules. If we cannot do what you ask, we will explain why. We will normally respond within one month.

If you are unhappy with how we have used your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.

9. Cookies, calls and security

Our website uses essential cookies, which are needed to make the site work. With your permission, we also use analytics cookies to understand how people use the site. We only set analytics cookies if you agree, and you can change your choice at any time using the cookie settings on our website.

We may record telephone calls for training, quality and record-keeping. We will tell you at the start of the call. We do not record card details; card payments are taken through a secure payment system that meets the Payment Card Industry Data Security Standard.

We use CCTV at our office for the safety and security of our staff, clients and premises. Signs tell you where it is in use. Images are kept for 14 days and then recorded over, unless they are needed to investigate an incident, and only authorised staff can view them. You can ask us for a copy of images of you.

10. Marketing

We may contact you about similar products and services that may be useful to you, for example a reminder to review your cover. We will only email or text you about this if you are an existing client and we gave you the chance to opt out when we collected your details, or if you have given your consent. Every marketing message gives you an easy way to opt out, and you can tell us at any time. Opting out will not stop us contacting you about the products you already have.
